How does InvoicePolish work with Xero?

InvoicePolish connects securely to your Xero account via OAuth2. It reads your existing invoices and lets you group the detailed line items into clean summary categories. The full detail stays in Xero for your accounting records, and you download a professional, easy-to-read summary PDF to forward to your client.

Does it change anything in my Xero data?

Accepted Answer

No. InvoicePolish never modifies your Xero invoices or line items. Your original detailed data remains completely untouched. You can optionally attach the polished PDF back to the Xero invoice for future reference, but the underlying invoice data is never changed.

Is my data secure?

Accepted Answer

Absolutely. We use industry-standard encryption for all connections. Your Xero credentials are handled through Xero's official OAuth2 flow — we never see or store your Xero password. All data is transmitted over HTTPS, sessions are encrypted, and we offer optional two-factor authentication for your InvoicePolish account.

Can I connect multiple Xero organisations?

Yes. You can connect as many Xero organisations as you need and switch between them instantly. Each organisation has its own invoice terms, payment advice, and grouping data. This is ideal for accountants and bookkeepers managing multiple clients.

What happens to my organisation data and InvoicePolish invoices if I disconnect and reconnect Xero?

Accepted Answer

Your organisation data and invoice terms are preserved. Your InvoicePolish invoices are preserved. If you disconnect a Xero organisation and reconnect it later, all your previous work will still be there waiting for you.

Can I harm my Xero invoice by making changes in InvoicePolish?

Accepted Answer

No. Think of InvoicePolish as a READ-ONLY helper. No amount of manipulation in InvoicePolish will interfear with the Xero invoice.

How do I edit and make changes to my invoice?

Accepted Answer

InvoicePolish only makes changes to how the line items in your Xero invoice are presented, by grouping them into single single line items, adding group item descriptions and reordering invoice line items. Make all your invoice edits in Xero just like noraml, and even if you have started work on the invoice in InvoicePolish, changes made in Xero will update within seconds in your InvoicePolish desktop app.

I have lots of invoices to send clients. Can I automate how InvoicePolish groups my Xero invoice line items?

Accepted Answer

Yes. Within your Xero invoice add at the start of every line item a group name in capital letters before the item description (ie, LABOUR, or EQUIPMENT, or CATERING). InvoicePolish will see this on import and automatically group line items accordingly. Simple!

How do I create grouped line items from a Xero invoice

Accepted Answer

When you first open an invoice, InvoicePolish lists all the invoice items as they are displayed in Xero. Create groups by dragging a line item on top of another, or use Create Groups button. Once a group is created, click and drag other line items into it, or click the little group + buttons that appear on each line item. Then it's easy to add descriptive text as well as reorder the grouped item line amongst other invoice item lines. If you delete a group, all line items within will pop back as single line items again.

What Xero data does InvoicePolish apply to my invoice?

Accepted Answer

The summary invoice shows your company branding (pulled from Xero), grouped line items with subtotals, tax calculations, and your custom payment terms. It's all the data you've already presented on your Xero invoice, but now it's a clean, professional PDF that hides the internal Xero account detail your clients don't need to see.

How do I deliver the polished invoice to my client?

Once you're happy with the grouping, download the polished PDF and forward it to your client however you prefer — email, client portal, or any other method. You can also attach the PDF back to the original Xero invoice with one click, keeping everything neatly filed for future reference.

Question 13

Do all my Xero invoices count towards my monthly invoice limit?

Accepted Answer

No. Your monthly limit only counts invoices you choose to polish by generating a client-facing PDF through InvoicePolish. You can sync your Xero invoices, open them, group line items, change templates, and play with how they look without using your download quota. The quota is used when you generate, download, or attach a polished PDF. So if you issue 100 invoices in Xero but only polish 25 of them, that counts as 25.

Does InvoicePolish import my invoice template from Xero?

Not directly through the API — but you don't need it to. Every new template starts from our Xero Classic preset, a faithful recreation of Xero's own standard invoice layout. So before you change a single setting, your polished invoices already looks very similar to the ones Xero generates. InvoicePolish also imports your company branding, logo, and business details straight from Xero. From there, you have full control to keep that exact look while you group and hide line items, or take it further with your own colours, fonts, layout, and background images.
